What is BillCrunch?

BillCrunch is a simple, private tracker for your bills, subscriptions and recurring payments. You add what you owe, when it’s due and how often, and BillCrunch shows it all on a clear calendar and a month-ahead forecast so nothing catches you off guard.

Everything stays on your device. There is no account, no sign-up, no servers, no tracking and no ads. BillCrunch never sees your data. It works fully offline.

BillCrunch is available on iPhone (App Store) and Android (Google Play). It is free to use, with an optional one-time Pro unlock.

Getting started

When you first open BillCrunch, a short intro walks you through the basics. You can replay it any time from Settings → Help → Replay intro.

To get going:

  1. Tap the + button to add your first obligation.
  2. Enter its name, amount, due date and how often it recurs.
  3. Choose whether it’s paid automatically or manually.
  4. Pick a category so it’s colour-coded across the app.

Once you’ve added a few, the Dashboard, Calendar and Forecast come to life.

Obligations: bills, subscriptions & recurring payments

An obligation is anything you pay on a schedule: a utility bill, a streaming subscription, insurance, rent, a donation, and so on. Each obligation has:

  • Name: what it is (e.g. “Electricity”, “Spotify”).
  • Amount: the expected cost, in your chosen currency.
  • Next due date: when the next payment is due.
  • Frequency: how often it recurs (see Frequencies).
  • Category: a super-category and sub-category (e.g. Utilities › Mobile).
  • Payment type: automatic or manual.
  • Tags: optional extra labels for filtering (a Pro feature).
  • Notes: anything you want to remember about it.

Automatic vs manual payments

Every obligation is one of two types, and the difference matters:

Automatic

Hands-off bills that get paid without you doing anything, direct debits, standing orders, auto-renewing subscriptions. BillCrunch advances these to their next due date on its own, so you don’t confirm them. On the calendar they appear as a filled dot.

Manual

Bills you pay yourself and want to confirm each time. These don’t roll forward automatically, when one is due, you open it and confirm the payment, recording the amount and moving it to the next cycle. On the calendar they appear as an outlined ring. Manual bills within seven days of their due date (or overdue) show up under Action needed on the Dashboard.

Frequencies

BillCrunch supports a range of recurrence patterns:

  • Weekly
  • Fortnightly
  • Monthly
  • Quarterly (every three months)
  • Half-yearly (every six months)
  • Yearly
  • One-off (a single payment that doesn’t repeat)
  • Custom intervals (e.g. every 2 weeks, every 5 months)

The frequency governs how the next due date is calculated when a payment is confirmed or when an automatic bill advances.

Categories & tags

Categories

Every obligation belongs to a super-category (such as Property, Utilities, Insurance, Subscriptions or Personal) and a sub-category within it. Super-categories are colour-coded, and that colour is used consistently across the Dashboard, Calendar and Forecast so you can spot a type of spending at a glance. You can manage your categories in Settings → Manage Categories.

Tags

Tags are an optional second way to group obligations that cuts across categories, for example tagging bills for a particular property, person or project. Once enabled, you can filter by tags on the Dashboard and Calendar. Tags are a Pro feature; enable them in Settings → Tags, then manage them in Settings → Manage Tags.

A tour of the screens

Dashboard

Your home base. It shows the total scheduled for the current month, your peak week, and how much needs action. Below that, an Action needed section lists manual bills that are due soon or overdue, and an Upcoming section shows what’s coming next. Use the filter chips at the top to focus on a single category or by tags.

Calendar

A month view with a marker on every day that has an obligation. Tap a day to see just that day’s items. Markers use the super-category colour, and their shape tells you the payment type.

Forecast

A projection of your obligations across the months ahead, charted by category, with your heaviest month highlighted so you can plan for it before it arrives.

Spend

An overview of what you’re spending, broken down by category, so you can see where your money really goes.

All Items

A complete list of your obligations, for when you want to browse or search everything in one place.

Activity

Your history, a record of payments confirmed and changes made over time.

Adding and editing an obligation

Tap the + button on the Dashboard to add a new obligation, and fill in its details. To edit an existing one, open it from any list and choose Edit.

An important detail about editing: the next due date and the frequency are independent. Changing the frequency does not move the current due date, it only affects how the following cycle is spaced. This is deliberate: an imminent due date is a real, concrete fact, and changing how often a bill recurs shouldn’t silently move a payment you’re about to make. If you need the next due date to change, edit the date directly.

Confirming a manual payment

When a manual bill is due, open it and tap Confirm Payment. On the confirmation screen you can:

  • Record the amount you actually paid (BillCrunch flags if it differs from what was expected).
  • Optionally update your future forecast if the amount has changed going forward, and set the next due date.
  • Add a note about the payment.

Confirming moves the bill to its next cycle and logs the payment to your history.

How automatic bills advance

Automatic bills roll forward on their own, you don’t confirm them. BillCrunch advances them when you open the app, moving any that have passed their due date on to their next occurrence and recording each cycle in your history.

Because this happens while the app is running, an automatic bill can briefly appear due for a short window right after its date passes, until the next time you open BillCrunch. This is normal and resolves itself.

Calendar markers explained

On the Calendar, each obligation is shown as a small marker in its super-category colour. The shape tells you the payment type:

  • Outlined ring: a manual payment (something you confirm yourself).
  • Filled dot: an automatic payment (hands-off).

This lets you tell at a glance which days need your action versus which will take care of themselves.

Notifications & reminders

BillCrunch can remind you about upcoming bills with local notifications. These are generated entirely on your device, nothing is sent to a server. They’re optional and can be turned on or off in Settings → Manage Notifications.

For reminders to appear, you’ll need to allow notifications when prompted (on Android 13 and above this is the notifications permission; on iOS you’ll be asked the first time). You can change this later in your device settings. Reminders arrive on the scheduled day.

Currency

You can choose your display currency in Settings → Currency. BillCrunch supports a range of world currencies, with the correct symbol shown throughout the app.

Your data: backup, restore & export

All of your data lives in a private database on your device. You are always in full control of it, from Settings → Data:

  • Export Full Backup: save all of your app data to a backup file (JSON) that you can store or move elsewhere. (Pro)
  • Import Full Backup: restore your data from a backup file, replacing what’s currently in the app. (Pro)
  • Export Obligations CSV: save your obligations as a spreadsheet file, for your own records or analysis.

To start completely fresh, Settings → Danger Zone → Erase all data permanently deletes everything and resets the app. This cannot be undone.

Because your data is stored only on your device, uninstalling BillCrunch also deletes it. If you’re changing phones or reinstalling, export a backup first so you can import it afterwards.

BillCrunch Pro

BillCrunch Pro is a one-time purchase that unlocks the app’s Pro features. It is not a subscription, you pay once and it’s yours on that device.

Pro unlocks features such as tags and full backup and restore. The price shown in the app is set by the App Store or Google Play for your region.

Restoring a previous purchase

If you’ve bought Pro before (for example after reinstalling), use Settings → Data → Restore Purchases to recover it on your device. On Android this also happens automatically in the background; the button is there for when you want to trigger it yourself.

Purchases are tied to the store account and device they were made on. Because BillCrunch has no accounts of its own, a purchase can be restored on the same store account.

Privacy

BillCrunch is private by design. It collects no data, has no servers and requires no account or internet connection to work. Everything you enter stays on your device, and we never receive a copy of it. The optional in-app purchase is processed by the App Store or Google Play, we never see your payment details.

Frequently asked questions

What’s the difference between automatic and manual bills?

Automatic bills are paid without your involvement (like direct debits) and advance on their own. Manual bills are ones you pay yourself and confirm each time. See Automatic vs manual.

A bill showed as due, but the real bill hasn’t arrived yet. Why?

For bills whose date or amount you don’t know until they arrive, the due date is a prediction based on the schedule you set. If it’s wrong, just open the obligation and edit the next due date to when it’s actually due. The due date is always the thing you control.

Why didn’t I get a reminder?

Check that notifications are enabled in Settings → Manage Notifications, and that you’ve allowed notifications for BillCrunch in your device’s system settings. Reminders are generated on your device, so they only appear when the relevant permission is granted.

How do I confirm I’ve paid a manual bill?

Open the bill and tap Confirm Payment. See Confirming a manual payment.

Does BillCrunch work offline?

Yes. BillCrunch needs no internet connection to function, everything runs on your device.

How do I back up my data or move to a new phone?

Use Settings → Data → Export Full Backup to save a backup file, then Import Full Backup on the new device. Since data is stored only on your device, always export a backup before uninstalling or switching phones.

I bought Pro but it’s not showing. How do I restore it?

Go to Settings → Data → Restore Purchases, signed in to the same store account you bought it with.

Is BillCrunch Pro a subscription?

No. Pro is a single one-time purchase, with no recurring charge.

How do I change the currency?

In Settings → Currency, choose your preferred currency.

Is there a dark mode?

A dark mode is planned. You’ll see it noted as “Coming soon” in Settings until it’s available.

How do I start over / delete everything?

Use Settings → Danger Zone → Erase all data. This permanently deletes all obligations, history, tags and custom categories and resets the app. It cannot be undone.

Do you sell or share my data?

No. BillCrunch collects nothing and has no servers, so there is nothing to sell or share. See Privacy.
